Job Purpose 

The Project Resource Coordinator is responsible for delivering and maintaining a high level of service and support to CDA members and CDA member-clients through Practice Support (PS) and its supporting web site.

Essential Functions – must be able to perform with or without a reasonable accommodation

  • Independently manages a complex multi-step resource development and resource review process in CDA project management system including the coordinating of resource contributors and reviewers (internal and external). Develops, initiates and implements process improvements when need arises.
  • Facilitates and schedules review calendar in the applicable database and resource review management system. Initiates and manages the multi-step process with PS and appropriate internal teams to ensure timely, current, and relevant materials are available through CDA. Reporting status to up line management.
  • Oversees multiple resource content owners and reviewers to maintain the CDA’s reputation for high quality information as well as ensuring excellence and adherence to deadline, while maintaining brand standards.
  • Develops and maintains reporting dashboards that provide Senior and Executive management with a clear and concise understanding of CDA resources.
  • Provides expertise and direction to service line mangers on resource development and update process.
  • Analyzes website content and develops solutions to improve the delivery of member resources.
  • Provide training on resource development and update process.
  • Drive overall organizational awareness related to data resources.
  • Develop overall strategies that optimize efficiency in the resource process.
  • Manages resource distribution to our members as well as strategizing and collaborating with marketing and communications to ensure accurate and timely information is provided for use in e-blasts, e-newsletters, advertising. component outreach and web content.
  • Independently manage the integrity and accuracy of the PS webpages in coordination with online service team in areas of website enhancements as well as being the contact person for maintenance to the site and troubleshooting.
  • Identifies website issues, reports, and works with online services to resolve the problem.
  • Analyzes market trends and website analytics offering recommendations for improvements and messaging to members.
  • Ensures the PS webpages are consistent with CDA branding standards, analyzing, and collaborating with marketing to provide best ways to market available resources.
  • Manages all aspects of events sponsored by PS marketed and housed on the website including webinars, podcasts, CE events, etc.  Collaborates with internal teams to facilitate registration, marketing, e-newsletters, handouts and follow-up member correspondence and CE distribution.
  • Takes lead role in partnering with PS Analysts with regards to overall planning, organization, resource development strategy, implementation, and evaluation of resources as well as program offerings
  • Serves as the direct and primary liaison from the PS to the Association Software Management system (Aptify), providing clarity and direction related proposed upgrades, changes, and report requirements.
  • Works collaboratively and effectively with various departments within the organization to identify trends and determine possible joint resource collaboration opportunities.
  • Serves as the website and resource subject matter expert to the organization and provides feedback to various departments as updates to resources affect content.
  • Investigates and presents recommendations related to resource coordination within CDA. Develops, initiates and implements process improvements when need arises.
  • Conducts ongoing evaluation of coordination efforts and collaboration to ensure the process is utilized with the best efficiencies. 
  • Responds to member inquiries related to the website.
  • Represents the organization as a subject matter expert of resources and website content to external entities in areas related to use, navigation, and functionality of the website.
  • Maintains a working knowledge of the Association divisions and subsidiaries through regular study and training.
  • Keeps reference materials current; keeps abreast of changes, marketing campaigns and member outreach programs.
  • Attends and takes a lead role in staffing, as well as preparing the Practice Support booth at CDA Presents
  • Oversees the CDA Practice Support Store, as well as fee-based resources through PS+ services
  • Administers and maintains the Practice Support Mail Boxes
  • Collaborates with component liaisons and other outside contributors to maintain content for the website CE Course Calendar. Independently initiating and managing the process for the association.

Required Education, Licenses & Experience

  • Bachelor’s degree, or equivalent experience in Business, Information Systems, or related field.
  • Minimum of four years’ experience in database management, resource coordination and/or other similar experience. 
  • Dental office experience and familiarity with dental terminology a plus.

  • Excellent customer service, mathematical and phone skills are required.
  • Must be able to perform job duties in a structured team environment.
  • Requires computer skills, including data base management and the ability to operate Indesign, Project management system and familiarity with Access database programming preferred.
  • Must be proficient in Microsoft Office365, specifically Microsoft Word
